AlphaClear for Renal Care

Know where every clinic stands. Prove it to any surveyor.

AlphaClear checks your policies, logs and evidence against the federal Conditions for Coverage, the rules of every state you operate in and your own compliance program. Every finding cites its source, and every gap becomes tracked work.

The binder problem

Every clinic answers to three rulebooks at once

The federal Conditions for Coverage, the state the clinic operates in, and your own compliance program. Each has its own surveyors, effective dates and grace periods, and readiness is still proven by hand, binder by binder, clinic by clinic.

Three rulebooks

42 CFR Part 494, state licensing and your own policies, all moving on different schedules.

Binder reviews

Readiness checked by hand before each survey, one clinic at a time.

Mock surveys

Consultants walk each clinic, and the findings are out of date as soon as the visit ends.

Gaps found late

Missing evidence surfaces when the surveyor finds it, not when you could still fix it.

Proof scattered

Policies, logs and minutes live in shared drives, with one copy per clinic.

Payment at risk

Surveys about every three years, and a Quality Incentive Program shortfall can cut Medicare payment by up to 2%.

AlphaClear changes that.

The rulebooks

Exactly what we check. Texas as the example.

Every dialysis clinic in Texas answers to the same three rulebooks. AlphaClear loads each one from its source text and checks your evidence against every rule.

FEDERAL · CMS

The federal conditions

  • 42 CFR Part 494Medicare Conditions for Coverage for dialysis facilities: patient safety, infection control, water and dialysate quality, physical environment, patient rights, assessment and plan of care, QAPI, staffing, medical director, records and emergency preparedness.
  • State Operations Manual, Appendix HCMS surveyor guidance for dialysis facilities and the ESRD Core Survey.
  • State Operations Manual, Appendix ZSurveyor guidance for emergency preparedness.
  • 42 CFR 413.177 and 413.178The ESRD Quality Incentive Program.
STATE · TEXAS

The Texas rules

  • Texas Health and Safety Code, Chapter 251The state licensing law for end stage renal disease facilities.
  • 26 TAC Chapter 507HHSC's rules for end stage renal disease facilities: licensing, operations, water treatment and dialysate testing, dialysis technician certification and emergencies. Replaced 25 TAC Chapter 117.
  • 26 TAC Chapter 507, Subchapters Y and ZFire prevention and safety, and physical plant and construction.
YOUR OWN

Your own program

  • Policies and proceduresYour clinical and operational policy manual.
  • QAPI programYour quality plan, meeting minutes and performance improvement projects.
  • Logs and recordsWater treatment, infection control, equipment and emergency drill records.
  • Training and competencyStaff training, technician certification and competency files.

Operating in another state? It works the same way: AlphaClear loads that state's licensing rules next to the federal ones. When a rule changes, the update arrives for review, showing only what changed.

The platform

One platform. Three jobs.

AlphaClear does the work no compliance team can do by hand across every clinic: it checks every document, proves every finding and closes every gap.

PILLAR 1

Check

Every policy against every rule.

Connect OneDrive, SharePoint, Google Drive, Dropbox and more, or upload policies, logs, meeting minutes and audit tools. AI-driven checklists show what each rule needs. Each document is matched to the federal, state and internal rules it addresses and evaluated rule by rule: what is proven and what is missing.

PILLAR 2 PATENTED

Prove

The exact passage behind every finding.

Every finding cites the text it relied on and the documents that prove it, on one screen a surveyor can follow. So can your board, your auditors and your medical directors.

PILLAR 3

Close

Every gap becomes a case with an owner.

Each gap gets a summary, an owner and a history. New evidence is re-checked automatically, so readiness stays current all year instead of the week before the surveyor arrives.

The real product

Every clinic, one screen

Open gaps, overdue cases and readiness by chapter, with every finding drilling back to the source document.

AlphaClear readiness dashboard with open gaps, overdue cases and readiness by chapter

Real screens from the running platform, shown on the federal health-center rulebook it runs today. Your dialysis rulebooks load into the same screens.

How it works

Four automated steps. Your team decides what is closed.

Connect

Link OneDrive, SharePoint, Google Drive, Dropbox and more, or upload PDFs and scans. AI-driven checklists guide what to add.

Tag

Each document is matched to the rules it addresses across all three rulebooks.

Evaluate

Rule by rule: what is proven, what is missing, with the exact passages cited.

Resolve

Each gap becomes a case with an owner. New evidence triggers re-evaluation.

Automatic rulebooksEach rulebook is generated automatically from the source text, every rule linked to where it came from. Your compliance lead can review and sign off any rule.
Rule changesWhen a regulation changes, the update arrives as a reviewable draft that shows only what changed.
Audit trailEvery evaluation records which version of the rulebook it used, like a controlled document.
Your dataPolicies and evidence, not patient records. Security review and BAA before any wider rollout.
Who it is for

Built for the people who answer to the surveyor

From the clinic floor to the board, everyone responsible for proving compliance works from the same evidence.

Compliance officers

One view of every clinic against federal, state and internal rules, with the proof attached.

Quality and QAPI leads

See which conditions are proven and which need evidence, before the survey window opens.

Regional operations

Compare clinics across a region and know where to send help first.

Clinic managers

A short list of what is missing at your clinic, with an owner for each item.

Medical directors

Findings that cite the exact policy text, so sign-off is quick and defensible.

Internal audit and finance

A record of what was checked, against which rule version, and what was fixed when.

Straight answers

What is built, and what we build with you

What does the platform do?
It generates rulebooks automatically from the source text, connects to your documents in OneDrive, SharePoint, Google Drive, Dropbox and more, guides evidence collection with AI-driven checklists, tags and evaluates every document rule by rule, cites the exact policy text behind each finding, turns gaps into cases with owners and history, and re-evaluates automatically when new evidence arrives. The platform runs today on the federal rulebook for community health centers, and the process is patented (US 12,633,153).
What do we build with you in a pilot?
  • The federal dialysis rulebook (42 CFR Part 494)
  • Your pilot state's licensing rulebook
  • Region and company views across your clinics
  • Your own program, from your policy manual
  • A security review and BAA before any wider rollout
How does a pilot work?
Up to 15 clinics in one state over 90 days. Weeks 1-2: choose the state and clinics. Weeks 2-3: AlphaClear generates the federal and state rulebooks and your compliance lead signs off. Weeks 3-8: clinics connect their document drives or upload evidence, guided by AI-driven checklists, and see their first readiness view. Weeks 8-11: close gaps and run a mock survey on the platform. Week 12: results review and a go or no-go decision.
Where does the evidence come from?
From where your documents already live. Connect OneDrive, SharePoint, Google Drive, Dropbox and more, or upload files directly. AI-driven checklists show each team what evidence every rule needs, what is already proven and what is still missing.
Do you need patient records?
No. AlphaClear works on policies and evidence: procedures, logs, meeting minutes, audit tools and training records. A security review and a BAA come before any wider rollout.
Who decides what counts as compliant?
Your people. AlphaClear generates each rulebook automatically from the regulation or your policy manual, with every rule linked to its source text. Your compliance lead can review, edit and sign off any rule, and every evaluation records the rulebook version it used.
We operate in many states. Does that work?
Yes. The federal rulebook applies to every clinic, and each clinic is also checked against the rulebook for the state it is in. A multi-state organization sees every clinic against the right rules.
